What's the job?

  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
  • Manage office supplies inventory and place orders as necessary
  • Perform receptionist duties: greet visitors, answer the door, and direct phone calls.
  • Receive and sort incoming mail and deliveries, and manage outgoing mail.
  • Develop office policies and procedures, and ensure they are implemented appropriately.
  • Coordinate the office planning and office moves. Manage and maintain IT infrastructure.
  • Identify opportunities for process and office management improvements. Design and implement new systems.
  • Organize team meetings, team buildings, and company events.
  • Book transport and accommodation for the managing partners.
  • Manage office budgets.
  • Liaise with staff, suppliers, prospects, and clients.
  • Organize introduction programs for new employees.
  • Attend meetings with management and leadership team.
  • Assist and partner with the organisation’s People & Organizational Development Manager.
  • Form a backbone team with a People & Organizational Development Manager, an Accountant, and a Junior Accountant.

Who are you?

  • You have a Bachelors’s degree in Office Management or another business-related field.
  • You have 2-3 years of experience in an administrative role.
  • You’re reliable and discrete. You will often learn about confidential matters.
  • You have excellent communication and interpersonal skills.
  • You’re a welcoming person with great energy.
  • You’re proficient in MS Office and other IT software packages.
  • You have a problem-solving mindset and think in solutions instead of problems.
  • You take the initiative and have the ability to ‘make things happen’.
  • Your budgeting skills are on point.
  • You pay attention to details.
  • You have strong organizational and time management skills and the ability to prioritize.
  • You can speak and write fluent Dutch, French, and English.
